Description:

Carroll Community College seeks a part-time, temporary (no benefits) Administrative Associate. This position is available in the Institutional Advancement/Foundation Office reporting to the Executive Director of Institutional Advancement and College Foundation.

FUNCTION: Provides general clerical and administrative support to the Office of Institutional Advancement and College Foundation. Specific responsibilities include: General secretarial duties – keyboarding, copying, scanning, scheduling meetings, filing, mail merges, bulk mail preparation. Receptionist skills – greeting visitors, answering telephone calls, taking messages; scheduling meetings, maintaining calendar using Microsoft Outlook, setting up and breaking down for meetings – A/V, catering, distribution of materials; placing work orders and supplying requests for the office; processing check requests; accounting entries; serving as a backup for entering donor related information and gift processing into the donor database; creating, balancing, and reconciling bank deposits; assisting in supporting special event planning and organization and performing other duties as assigned.

REQUIREMENTS:  High School degree with 3 years’ experience (Additional education may be used to offset experience) in an office setting preferably in a nonprofit environment, ability to maintain strict confidentiality and adhere to the Advancement office conflict of interest and confidentiality policy. Database and spreadsheet experience necessary. Microsoft Office experience a must. Experience with Adobe and InDesign, and Illustrator experience preferred. Knowledge and experience in fundraising and proper accounting and record keeping practices helpful, demonstrated organizational skills. Ability to manage multiple competing priorities and implement work schedule effectively. Ability to work well under pressure and to meet deadlines. Demonstrated ability to work effectively with diverse constituents including faculty, staff, students, Foundation board of directors, and donors. Knowledge of proper business English forms, grammar, spelling and typing formats. Excellent oral, written and interpersonal communication skills. 

SCHEDULE:  Monday – Friday, 1 – 4:30 p.m. Position currently being hired as temporary from September 1, 2017 – December 15, 2017
