JOB SUMMARY

This position provides administrative and program support to the Office of Continuing Education and Training (CET).  This position reports to the area Director, Senior Director, or Manager.

 

ESSENTIAL JOB FUNCTIONS:      

  • Provides administrative support for CET:  answers phones, routes calls, and takes messages; orders office supplies as needed; distributes mail and supplies;  arranges for equipment repair and maintenance; generates purchase orders and coordinates billing and/or payments for program materials; coordinates arrangements for special events; oversees timesheets; backs-up other associates in area; may reconcile bank statements..
  • Communicates information and provides assistance to students, faculty, contract clients, partners, and other College units regarding continuing education and training (CET) programs; verifies student eligibility for CET certificate programs.
  • Assists Program Manager(s): plans and schedules course offerings; initiates check sheets and change form; creates and proofs marketing materials or brochures as needed; collects e-mail and mailing lists for marketing materials; obtains student test results;  makes room arrangements;  orders books; prepares and disseminates instructional materials and course packets;  enters student registrations; processes class attendance sheets; enters grades and/or completion information.
  • Provides support for public offerings for adults: communicates with instructors regarding course status, support and materials needs; coordinates room assignments, catering, AV equipment, textbooks and special program needs;  initiates and tracks the creation of course outlines and materials lists; prepares course packets, class materials, and supplies; processes returned materials and enters grades as needed; organizes, scans, monitors, and maintains course records and files; creates and disseminates student evaluation reports.
  • Supports contract courses: communicates, tracks, and maintains partnership agreements, memorandums of understanding (MOUs), training agreements, and certificates of insurance for courses; tracks Senior Center and other contract class enrollment and program scheduling and deadlines; initiates billing with the Business Office.
  • Maintains tracking system to monitor completion and pre-requisites for licensing of entry-level courses.
  • Generates and tracks annual in-county rate contracts for local businesses’ employee training programs.
  • Use existing data to create queries and develop reports including charts and graphs including reports that assist in analyzing revenue and enrollment trends to support marketing strategy decisions.
  • Create and regularly updates manuals and documentation for various Lifelong Learning programs.
  • Assists in archiving of CET course documentation.
  • Provides staff guidance as-needed in such areas as use of CET Portal and Excel spreadsheets.  
  • May interface with statewide licensing and credentialing agencies such as the Maryland Board of Nursing (MBON) and the Maryland Real Estate Commission.
  • May assist in student communications, room arrangements, supplies and materials, and tracking of student and program information.

 

MINIMUM REQUIREMENTS TO PERFORM WORK:

High school diploma or equivalent.  At least two years of related experience preferably in a college environment.

WORK ENVIRONMENT:     

Work environment involves everyday risks or discomforts which require normal safety precautions typical of such places as office, meeting, and training rooms; use of safe work place practices with office equipment; computers for data entry and word processing with highly technical applications; avoidance of trips and falls; observance of fire and building safety regulations; and observance of traffic signals when driving.

 

SALARY:

This part-time, Grade 6 position is $15.94 per hour.
