- What are Carroll Community Colleges guidelines and mission about generative artificial intelligence (AI)?

- Can I put student/employee or other confidential College data into AI tools?
- Confidential College data—including student, employee, or any other personally identifiable information (PII) covered under FERPA—must only be entered into AI tools that have been formally reviewed and approved by Carroll. Under no circumstances should such data be placed into public or unapproved AI systems. Doing so risks data exposure, privacy violations, and non-compliance with federal regulations.
- Which AI tools are approved for college work, and how do I access them?
- Generally, Carroll Community College licenses Microsoft product, including Co-pilot, through our Microsoft tenant. Logging into Microsoft 365 with your Carroll Credentials and accessing Co-Pilot is the safest way to access the service.
- Do I need to disclose or cite AI use in coursework or teaching materials?
- For students, follow your course syllabus and direct this question to your instructor. Your instructor will let you know if you need to disclose or cite usage.
- For Carroll employees, use the governance framework in operating guidelines on whether you need to disclose or cite AI usage.
- How do I request approval for a new AI tool or integration?
- Please review our list of approved tools prior to submitting for a new tool. Please submit a general inquiry fresh service request. All new AI software requests (free or paid) must go through a cyber security, risk management and privacy check.
